Department
The Sheraton Grand Mirage Resort, Gold Coast is seeking a highly motivated Event Executive with strong leadership skills, exceptional communications skills and impeccable personal presentation.
The role of Event Executive will assist the Catering & Events team. As our Event Executive you will assist the event managers in administration related tasks as well as handling small day events and clients including the catering and logistics of the events and ensure all admin tasks are completed in a timely and professional manner.
Job Description
Event Administrations, Event Logistics and Operations
· Assists the event management team in admin duties and tasks including but not limited to filing, assisting with event orders, menus, post event billing, working on reports, etc.
· Ensures that events progress seamlessly by following established procedures, collaborating with other employees, and ensuring accuracy.
· Greets customer during the event phase and hands-off to the Event Operations team for the execution of details.
· Adheres to all standards, policies, and procedures.
· Ensures billing accuracy and conducts bill reviews with the clients prior to processing the final bill.
· Manages meeting space for small assigned groups.
· Identifies operational challenges associated with his/her group and determines how to best work with the property staff and customer to solve these challenges\\ and/or develop alternative solutions.
· Uses his/her judgment to integrate current trends in event management and event design.
· Participates in customer site inspections where required
· Performs other duties as assigned to meet business needs.
· Solicits feedback from the property departments to identify areas for improvement to enhance the Event Plannerâs experience.
· Attend weekly event order meeting with DOE and other relevant meetings as they arise
· Build good relationships with all departments within the hotel as well as those with clients
· Once file is handed over ensure all details of the event or group are accurately input into the Catering System.
· Communicate all client requests to the operational teams within the hotel effectively
· Ensure deposits and final payments are made on time and the credit policy is followed
· Ensure all amendments are communicated to the relevant departments and that changes to revenue are amended in CITY
· Consult with the Executive Chef on menu variations and specific guest requirements assisting the team in this area where necessary
· Maintain an active presence to the client during your events
· Flexible working house including weekends, public holidays and nights when required due to business demands
· Follow 24 hour response policy for emails and phone calls
Ensuring and Providing Exceptional Customer Service
· Delivers excellent customer service throughout the customer experience and encourages the same from other employees.
· Empowers employees to provide excellent customer service.
· Sets a positive example for guest relations.
· Coordinates and communicates event details both verbally and in writing to the customer and property operations.
· Makes presence known to customer at all times during this process.
· Oversees his/her customer experiences from file turnover through the post event phase until turnover back to sales.
· Follows up with customer post-event.
· Responds to and handles guest problems and complaints.
· Uses personal judgment and expertise to enhance the customer experience.
· Stays available to solve problems and/or suggest alternatives to previous arrangements.
· Works to continually improve customer service by integrating obtained feedback and personal judgment into action plans.
· Emphasizes guest satisfaction during all departmental meetings and focuses on continuous improvement.
· Interacts with guests to obtain feedback on product quality and service levels.
Requirements
We are looking for a proven performer in a fast paced, high volume and challenging role. Strong leadership skills, Food and Beverage operational experience, creative flair and excellent organisational skills are essential. To be successful in this challenging and rewarding role you will have previous experience in a Managerial role within a 4 or 5 star hotel/resort.
